ADMINISTRATIVE AND ACCOUNTS PAYABLE OPPORTUNITY
Brierley Associates Corporation, an internationally recognized leader in the engineering of tunnels, shafts, underground structures, and excavation support systems, is seeking a Full-time Administration and Accounts Payable position in the AUSTIN, TX area.
Duties of this position include, but are not limited to:
- Renew City of Austin rates annually
- Maintain TxDOT firm renewals and pre-certifications
- Maintain various state-level vendor registrations and associated forms
- Place orders for business cards for all Staff, maintain company phone list, assist with updating resumes, preparing project descriptions, and assist with marketing and business development
- Assist with maintaining company-wide Outlook database
- Answering incoming calls
- Schedule appointments and maintain calendars
- Prepare meeting minutes for various events
- Maintain internal records of registrations, certificates, and conferences
- Sort mail and deliver to appropriate departments
- Maintain office equipment and office/field supplies
- Document processing and contract tracking
- Event planning and coordination
- Assist other departments as needed
In addition to the above Administration duties, the Accounts Payable duties of this position include, but are not limited to:
- Set up new vendors in the accounting system
- Enter and process invoices
- Responsible for reviewing and entering vendor invoices, ensure all appropriate documentation and approval has been received for each invoice
- Entry of company credit card receipts and monthly reconciliation
- Process weekly check run
- Bank deposits
This is an extraordinary opportunity for a motivated individual with approximately 5 to 10 years of experience. Prior experience with an engineering firm is highly preferred. Desirable qualities and required skills include, but are not limited to:
- Integrity, credibility, and a commitment to Brierley’s mission is absolutely required
- Experience with Deltek Vision is desired, but not required
- College degree is desired, but not required; must have high school diploma or GED
- Fluency in MS Office Suite is required
- Impeccable organizational skills
- Excellent verbal and written communication skills
- Ability to work seamlessly on all virtual and cloud-based platforms
- A proactive and hands-on learner who, in partnership with the Brierley team, will learn with the Company, and grow into increasing levels of responsibility
- Self-motivated to learn the company’s accounting systems, and eagerly assist with other duties as assigned
- Ability to adapt to the changing needs of the position as the company grows
